Privacy Policy
Effective October 4, 2026
This Privacy Policy explains how CPros, Inc. collects, uses, and protects information associated with the MyCHIP and MoChip software, customer portal, licensing services, and related services.
1. Program-participant data
MyCHIP writes program-participant data only to the removable USB drive prepared for the participant and provided to the participant or the participant’s parent or guardian at the end of the session. Program-participant data is not written to the computer’s local hard drive and is not transmitted to or retained by CPros or the MyCHIP licensing portal.
CPros does not sell or share program-participant data.
2. Information the portal collects
The licensing portal collects only information reasonably needed to provide and administer the Services, which may include:
- Organization name and customer account details;
- Manager or contact name, email address, and telephone number;
- Sign-in credentials, stored using industry-standard password hashing, and authentication or passkey information;
- License terms, seat quantities, activation codes, computer identifiers, assignment dates, and release history;
- Order, invoice, subscription, and payment-status information; and
- Basic technical, security, and diagnostic information, such as access time, browser information, and internet address.
If online payment is enabled, payment-card details are entered directly into the payment processor’s systems. CPros does not store full payment-card numbers in the portal.
3. How information is used
CPros uses portal information to create and secure accounts; issue invitations and activation codes; provide, administer, and support licenses; process or document orders and renewals; communicate with customer representatives; detect misuse or security threats; maintain audit records; comply with law; and improve reliability.
4. Selling and sharing information
CPros does not sell personal information and does not share personal information for advertising or marketing by third parties.
CPros may disclose limited portal information to service providers that process it on CPros’s behalf and only as needed to operate the Services, such as cloud hosting, identity, email, support, and payment-processing providers. CPros may also disclose information when required by law, to protect the security and rights of CPros or others, or with the customer’s direction or consent.
5. Cookies and authentication
The portal uses cookies and similar browser storage that are necessary to sign users in, protect sessions, prevent fraud, and remember essential preferences. CPros does not use the portal’s authentication cookies for third-party behavioral advertising.
6. Data retention
CPros retains account, licensing, device-assignment, transaction, security, and audit information for as long as reasonably necessary to provide the Services, maintain business and legal records, resolve disputes, enforce agreements, and meet legal obligations. Information is deleted or de-identified when it is no longer reasonably needed, subject to backup and legal-retention requirements.
7. Security
CPros uses reasonable administrative, technical, and organizational safeguards designed to protect portal information. No method of storage or transmission is completely secure, so absolute security cannot be guaranteed. Customers are responsible for protecting passwords, invitation links, activation codes, computers, and USB drives under their control.
8. Access and correction
Authorized customer managers can review certain organization and licensing information through the portal. Requests to access, correct, or delete personal information may be sent to CPros. Some information may be retained where required for security, accounting, contractual, or legal purposes.
9. Communications
CPros may send service-related communications concerning invitations, security, licensing, support, orders, and renewals. If optional marketing email or text messaging is offered in the future, CPros will obtain any consent required by law and provide applicable opt-out instructions.
10. Children’s information
The licensing portal is intended for authorized adult representatives of customer organizations and is not intended for use by children. As described above, program-participant data is written only to the participant’s USB drive and is not transmitted to or retained by the portal.
11. Changes to this Policy
CPros may update this Privacy Policy from time to time. The current version and effective date will be posted here. Material changes will be communicated when required by law.
